We are seeking a highly organized and proactive Office Administrator to support our day-to-day operations and ensure a smooth, professional office environment.
Duties and Responsibilities
- Serve as the first point of contact by professionally welcoming clients, managing calls/emails, managing lawyers’ calendars, scheduling appointments, and coordinating meeting logistics.
- Provide comprehensive administrative support to lawyers, including handling professional email correspondence, document preparation, filing (physical and digital), court submissions, and maintaining strict confidentiality.
- Maintain organized and secure record-keeping systems for client files, office documentation, and legal correspondence in compliance with firm standards.
- Manage office operations, including inventory of supplies, coordination of couriers/runners, and upkeep of a clean, professional work environment.
- Assist with basic financial tasks such as invoice preparation, payment recording, petty cash tracking, and receipt issuance under supervision.
- Uphold the firm’s ethical standards, confidentiality protocols, and procedural compliance with court and regulatory administrative requirements.
Requirments
- Diploma or Bachelor’s degree in Secretarial Science, Office Administration, Management, or related fields
- Minimum 1 year of administrative experience. Experience in a law firm or legal setting is strongly preferred
