Job Description
The Project Coordinator is responsible for facilitating the smooth execution of civil engineering projects by bridging the gap between the site team, the head office, clients, consultants, and external stakeholders. This role focuses on organizing project workflows, managing resource logistics, streamlining communication, and tracking overall project performance. The Project Coordinator ensures that all technical, administrative, and logistical activities are synchronized to deliver the project on time, within scope, and to the required quality standards.
Duties and Responsibilities
- Assist the Project Manager in developing comprehensive project execution plans, work breakdown structures (WBS), and operational workflows.
- Coordinate daily and weekly activities between the Site Engineer, Senior Office Engineer, procurement, and design teams to ensure alignment.
- Identify bottlenecks in the project workflow and proactively implement solutions to prevent delays in construction activities.
- Act as the primary central point of contact for internal teams, clients, consultants, and subcontractors.
- Organize, facilitate, and minute all project meetings, including kick-off meetings, weekly progress meetings, and technical coordination meetings.
- Ensure that all official correspondence, directives, and meeting minutes are accurately drafted, distributed, and followed up upon.
- Collaborate with the procurement and supply chain teams to ensure that construction materials, equipment, and manpower are mobilized to the site exactly when needed.
- Coordinate the deployment of subcontractors and specialized labor, ensuring their schedules align with the master project plan.
- Monitor site logistics, including access roads, laydown areas, and temporary utilities, to ensure smooth site operations.
- Track project Key Performance Indicators (KPIs) and monitor overall progress against the baseline schedule and budget.
- Consolidate technical reports from the Site Engineer and financial/contractual reports from the Senior Office Engineer into unified, high-level Executive Dashboards for the Project Manager and Client.
- Maintain a comprehensive “Issues and Risks Register,” tracking the resolution of technical, logistical, or administrative roadblocks.
Requirements
- Education: Bachelor’s Degree (BSc) or Master’s Degree (MSc) in Civil Engineering.
- Experience: Minimum of 8 to 10 years of experience in the construction or civil engineering industry. Prior hands-on experience as a Site Engineer, Office Engineer, or Junior Project Engineer is highly required to understand the technical realities of the field and office.
