Job Description
A Secretary and Office Administrator handles an organization’s daily clerical and operational tasks. They are the backbone of the office, acting as the primary point of contact, managing schedules, and maintaining files to ensure the workplace runs efficiently.
Duties and Responsibilities
- Responsible for managing and documenting incoming and outgoing letters and other information, handling messages coming through telephone calls, postal messages, FAX, or electronic means, and forwarding the message on time to the Project coordinator for approval and forwarding it to other concerned experts.
- Carry out secretarial service that includes drafting letters, proofreading, scanning & duplicating, and copying for workshops & meetings and using appropriate application software.
- As may be assigned by the Project Coordinator.
- Provide information to Federal & Regional Bureaus and other agencies related to the Project.
- Reserve hotel & flight for staff and others concerned
Requirements
- Bachelor’s Degree in Secretarial Science and Office Management or with related field of study from a recognized institute.
- 6/8 years of work experience out of which four years as a secretary, 2 years as a senior secretary, and 2 years in office admin.
- A minimum of 3 years’ experience in related areas in World Bank and/or Development Partner- funded projects is required.
- Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and advanced.
- Fluent in English with good verbal and written communication skill.
