Job Description

The Procurement Assistant supports the Procurement & Logistics Department in sourcing, purchasing, and coordinating the delivery of materials, equipment, and services required for real estate development and construction projects. The role focuses on administrative support, supplier communication, documentation handling, and ensuring smooth workflow within the procurement process.

Duties and Responsibilities

A. Procurement Support

  • Receive purchase requests (PRs) from project sites and departments and ensure they are complete.
  • Assist in collecting quotations from approved suppliers.
  • Conduct basic price comparisons and prepare summary sheets for review.
  • Support the preparation of purchase orders (POs) under supervision.
  • Follow up with suppliers regarding quotation submissions, availability, and pricing.

B. Supplier Communication

  • Maintain regular communication with suppliers to check delivery status and confirm timelines.
  • Request updated price lists, catalogues, and product information when needed.
  • Coordinate with suppliers on sample submissions for material approvals.

C. Documentation & Filing

  • Maintain accurate procurement files including quotations, PRS, POs, delivery notes, and invoices.
  • Ensure proper documentation flow between Procurement, Finance, Stores, and Project Teams.
  • Update the supplier database and material price records regularly.
  • Support in preparing weekly or monthly procurement status reports.

D. Logistics Coordination

  • Assist in arranging transportation for materials to construction sites.
  • Follow up on deliveries and ensure GRN (Goods Received Note) completion by the storekeeper.
  • Report any discrepancies, shortages, or damaged materials to the Procurement Officer.

E. Cross-Department Assistance

  • Support Procurement Officers in tender processes, evaluations, and supplier screenings.
  • Coordinate with Finance for invoice matching (PO-GRN-Invoice).
  • Help project engineers by clarifying material availability and lead times.

Requirements

  • Diploma or Bachelor’s Degree in Procurement, Supply Chain Management, Logistics, Business Administration, or related field.
  • 1-3 years relevant experience.
