Job Description

The Program Coordinator – Portfolio Office acts as a central enabler for the Chief Portfolio Officer (CPO), coordinating strategic programs and projects across the Portfolio Office departments and ensuring effective alignment with other executive functions (CIO, COO, Applications, Infrastructure, and Corporate Services). The role balances program oversight, stakeholder engagement, and operational follow-through, driving timely delivery of initiatives and reinforcing governance discipline.

Duties and Responsibilities

  • Manage and prioritize the CPO’s program-related agenda, follow-ups, and stakeholder engagements.
  • Consolidate inputs from Portfolio Office departments into reports, dashboards, presentations, and Board updates.
  • Monitor performance against KPIs, risk thresholds, and key milestones, escalating issues for CPO decision-making.
  • Serve as liaison for internal and external stakeholders requiring program-level updates or interventions.
  • Facilitate alignment and coordination among the Portfolio Office departments:
  • Business Analysis – support requirement gathering, documentation, and alignment with stakeholders.
  • Quality Assurance (QA) – track test plans, sign-offs, and ensure QA readiness in program timelines.
  • Project Management Office (PMO) – coordinate schedules, risk registers, and governance processes.
  • System Development – align development sprints, deployments, and integration timelines with program goals.
  • Scheme Department – ensure scheme rule development and approval processes are integrated into delivery plans.
  • Standardize project documentation, templates, and reporting practices across the Portfolio Office.
  • Track and follow up on action points, deadlines, and decisions across departments.
  • Act as a bridge between the Portfolio Office and other executive functions, ensuring programs are delivered seamlessly across:
  • CIO Office – technology strategy, security, and enterprise architecture.
  • COO Office – operations, process readiness, and service delivery.
  • Applications & Infrastructure Teams – systems deployment, hosting, integration, and performance.
  • Corporate Services – HR, Finance, Procurement, and Administration for resource and support alignment.
  • Convene and facilitate cross-functional working groups to address dependencies, risks, and escalations.
  • Ensure smooth flow of information and resolve bottlenecks across functions impacting program delivery.
  • Organize program-related workshops, steering committees, and cross-functional review sessions.
  • Support procurement and resource requests for Portfolio Office initiatives in line with policies.
  • Maintain structured filing, archiving, and knowledge management systems for program documentation.

Requirement

  • BA/MBA/MA/MSc in Management, Accounting, Economics or related fields of studies
  • 8/6 years of relevant work experience out of which 3 years in senior officer positions.
